Getting Started with RepairQ

RepairQ features powerful reports and analytics that give you quick and accurate insight into your business data. For you to take full advantage of these features it is important to understand the structure and lingo that go along with RepairQ before you get started.

Your Catalog is the Key

Your catalog is your database of everything you sell (ie. merchandise, parts, services/labor, fees, etc).  The catalog is also the structure that is used to track and report on sales.  From a very high level the catalog is your price list, but keep in mind that the way that you setup your catalog determines how accurate and effective your reports are. For example:

  • if you want to track sales separately for the white and black iPhone 4S you can set them up as separate catalog items.
  • if you want to offer flat fee pricing on repairs (parts and labor included) but track cost separately you can use the bundle feature
  • if you want to track the serial number of phones (by esn/imei/etc) or expensive merchandise to deter theft you can use the inventory serialization feature
  • if you have different sales/VAT tax requirements for merchandise, parts, and labor you can create item types to group similar items and then setup catalog items under different item types where appropriate
While servicing customers, managing sales, tracking repairs, and replenishing inventory are common day-to-day operations that are often delegated to trustworthy employees, setting up your catalog is undoubtedly a management task.  We feel strongly about this because the way your catalog is setup determines the way your management reports are constructed.  For that reason it requires a bit of planning and forethought before you can effectively use RepairQ.

Location, location, location

Setting up your location(s) properly is another important task before you start using RepairQ in your business. From your location settings come a number of things that will ensure your profitability reports are accurate, and that will help you stay on top of your repairs. For each location you can enter your overhead, operating hours, tax rates, and time limits for repair tickets (you are warned when tickets don't move forward to completion fast enough).
