Getting Started: Inventory Search

Finding Inventory Items

RepairQ offers a robust inventory management solution for your repair business. This article provides three different ways to search for inventory items: By using the Global Search bar, searching the Inventory Summary page, and searching the Inventory Detail page.

Inventory Global Search

You will find the Global Search bar near the top of the homepage under the Navigation Bar. When using this to find inventory items, you can search by keyword, the item's SKU, or by serial number or IMEI (if applicable).

 

1. On the RepairQ home page, click the Inventory category on the Global Search bar.

2. Enter the catalog item name, SKU, or serial number in the Global Search Bar.

3. Click Go.

4. You should now see results on one of three pages based on the available results: The inventory Summary page, the catalog item's specific Inventory page, or the Inventory Item Manage page.

 

Understanding Inventory Search Results

If you search using a keyword that applies to multiple items, RepairQ will show all possible results on the Inventory Summary page. For instance, we searched the keyword, iPhone 4S, and RepairQ returned several results that include color variations that are included in the name of many iPhone 4S devices in inventory.

If you search using a keyword that has an exact match, you will be routed to that item's inventory page. In this scenario, we searched using iPhone 4S 16GB Black, to be as specific as possible. RepairQ narrowed the results to a single catalog item name and took us to the iPhone 4S 16GB Black Inventory page. You can see that the upper-left of the page lists the inventory item name, rather than the summary page. On this page, we can see a history of inventory items and their current inventory status.

If you search using an item's serial number or IMEI, this takes us to the Inventory Item Manage page, which shows us the specific details and history of that item only.

Inventory Summary Page Search

The Inventory Summary page will show you inventory items grouped by their catalog item names. You can search using the list view filters for inventory items based on their catalog item names. You can also narrow down your search results with other filters, such as the date they were added to the system, if they are instock, whether or not they are serialized, what manufacturer they are listed under, and many other filters.

Inventory Summary Search Instructions

For this example, we will be looking for an in-stock iPhone 4S 16GB Black.

 

1. Using the navigation bar at the top of RepairQ, go to Inventory -> Inventory Summary.

2. From the search fields, select +Filter -> Inventory Focus -> Instock, then select Apply. This will narrow our results down to in-stock items only.

3. Select +Filter -> Manufacturer -> Apple (or the manufacturer of the desired item), then select Apply. This will narrow results down to items specifically from that manufacturer. In this example, that will remove any third-party items (such as phone cases or screen protectors for the iPhone 4S) that might clutter our results.

4. Next, select the +Keyword option to type in iPhone 4S 16GB, then select Apply. This will narrow the items down to any that have iPhone 4S 16GB in the name.

Note: This will narrow the items down to any items that have iPhone 4S 16GB in their catalog item name. In this case, RepairQ returned two results. If we had been more specific and typed in iPhone 4S 16GB Black, then RepairQ would have taken us directly to the iPhone 4S 16GB Black Inventory page.

5. To view the inventory page for a specific item, under the Actions column, in line with the iPhone 4S 16GB Black item, click the Options Button (three vertical dots) to open the Action Menu.

6. From the drop-down, select View.

7. Now that we are on the iPhone 4S 16GB Black page, we can see the one in-stock item. Under the Actions column, click on the Options Button to open the Actions Menu.

8. In the drop-down menu, Select View.

If done correctly, we should now find ourselves back at the Inventory Manage page discussed earlier.

Inventory Detail Page Search

The Inventory Detail page lists each inventory stock item individually, for the same catalog item. On each line, the default list view will give you a quick display of the items' names, their prices and costs, and a hoverable set of links for relevant tickets and purchase orders, as well as some other basic information.

Note: Because of the potentially large amount of items listed by viewing the entire inventory, the default Date Range of the page will be limited to inventory items that have been added or updated within the last 90 days. This is to prevent unusually long loading times caused by returning too many results from larger inventories with a long history.

Changing the range to include results from All Time may cause longer loading times than expected.

 

Inventory Detail Search Instructions

For the purpose of this example, we will again be searching for an in-stock iPhone 4S 16GB Black, and we will be using Date Range: All Time.

 

1. Using the navigation bar at the top of RepairQ, navigate to Inventory -> Inventory Detail

2. Select +Filter -> Status -> Instock, then select Apply. This will narrow our results down to in-stock items only.

3. Select +Filter -> Manufacturer -> Apple, then select Apply. As with our Inventory Summary search, this will narrow results down to items specifically from that manufacturer. In this example, that will remove any third-party items (such as phone cases or screen protectors for the iPhone 4S) that might clutter our results.

4. Next, select the +Keyword option to type in iPhone 4S 16GB, then select Apply.

This will narrow the items down to any that have iPhone 4S 16GB in the name.

5. Under the Actions column, in line with the iPhone 4S 16GB Black item of choice, select the three vertical dots, or the hamburger menu, to open the Action Menu.

If done correctly, we should now find ourselves back at the Inventory Manage page discussed earlier.
